Information You Send Us

When you call, email, text, or submit a form, we receive the details you choose to share. This may include your name, work contact information, company, operating area, team size, current tools, and a short description of recurring work.

Audit Information

If you purchase an AI Workflow Audit, we also collect the intake answers, consent choices, baseline estimates, examples, and files needed to review one agreed operating workflow. With your clear consent, an interview may create a recording or transcript. Please do not send passwords, private keys, full payment-card numbers, or personal data that the agreed workflow does not require.

Payments, Scheduling & Email

Google Calendar handles interview booking details and connects to Stripe for Audit payments and refunds; AI Workflow Studio does not receive your full card number. Resend delivers service emails such as purchase, preparation, report, and follow-up messages. These providers process the information needed to perform their part of the service under their own terms.

Free Website Benchmark

The Free Website Benchmark reviews public pages at the URL you submit. You can view the score and top findings without giving us an email address. If you request the full checklist by email, we use the address only to send that request and related service follow-up. The benchmark does not inspect your internal CRM, lead handling, response time, or revenue records.

Sample Audit Requests

If you request a sample Audit, we store your email address to record your interest. This request does not require a name or phone number.

Website Measurement

We record a small set of first-party events, such as an Audit button click, Sample Audit request, fit-form completion, benchmark completion, or purchase confirmation. These records may include the page path and short campaign labels. We do not place advertising pixels in this launch flow, and we do not put email addresses, form answers, messages, client files, or transcript text in analytics events.

How We Use Information

We use information to answer requests, check fit, process an order, schedule and deliver the work, support a refund, protect the service, keep required business records, and learn where the buying process needs correction. We do not sell personal information or use client materials to train a public model.

Storage & Service Providers

Cloudflare hosts the website, general contact and Sample Audit request records, private Audit intake, and limited operational logs. A form submission may also send a private email or Slack alert to the Studio; that alert can include the contact details and message you submitted so we can respond. CallRail supports the published business phone number. We may use a client-approved model or workspace to analyze an Audit, but we minimize the material sent and keep a human responsible for the final report. We do not post paid-client intake or raw workflow detail to public channels.

Retention

• General contact-form and Sample Audit request records: up to 180 days, unless the request becomes ongoing work.
• Free benchmark reports and generated checklists, including the submitted website URL and public-signal result: up to 30 days, whether or not you request an email.
• First-party website interaction records: up to 30 days.
• Fit checks that do not lead to a purchase: up to 90 days.
• Transactional email delivery records: up to 90 days.
• Paid Audit intake answers: up to 365 days, unless approved follow-on work or a legal duty requires longer retention.
• Working recordings, transcripts, and draft analysis: 30 days after the review unless you approve follow-on work or a legal duty requires longer retention.
• Final reports, agreements, payment records, and refunds: up to 7 years, or longer when a legal duty requires it. Business correspondence is kept only as long as needed for the service, accounting, or a dispute.

A shorter written retention rule in an approved engagement will control for that engagement.

Security & Access

We limit access to people and services needed for the work, use private storage for client intake, and avoid collecting data that does not support the agreed workflow. No system can promise perfect security. Tell us promptly if you believe information was sent to the wrong place or an access link has been exposed.

Your Requests

You may ask what information we hold about you, correct it, request a copy, or ask us to delete it. Some transaction and contract records may need to remain for legal or accounting reasons. Email hello@aiworkflow.studio with the subject “Privacy Request.” We may need to confirm your identity before acting on the request.

Text Messaging & Terms

If you text us first or check the optional text-consent box on a form, you agree to receive customer-care texts from AI Workflow Studio about that request. These texts may include questions, quote follow-up, scheduling details, and service updates. We do not use this consent for unrelated marketing.

• Reply STOP to opt out or HELP for help.
• Consent is optional and is not a condition of purchase.
• Carriers are not liable for delayed or undelivered messages.

We do not sell or share mobile numbers, text-message opt-in data, or consent records with third parties or affiliates for marketing or promotional purposes. We may use service providers only to deliver messages, keep the service secure, respond to your request, or meet legal duties.
